Shop lot and factory rental: from business needs to handover
Check permitted use, operating capacity and written conditions before committing to a lease.
Define the actual operation, not just 'shop' or 'factory'. A restaurant, tuition centre, warehouse and manufacturing line may need different approvals, utilities and fire arrangements. Tell the landlord the intended activity and tenant entity; an advertisement or landlord's consent alone does not grant regulatory permission.
For Ipoh premises, ask MBI about the relevant premise and signboard licensing and documents, and ask the land or planning authority about permitted use where required. Confirm building approvals and CCC or other applicable occupancy records. Requirements are activity- and site-specific; not every factory requires the same MIDA, DOE or BOMBA approvals.
During the site visit verify usable floor area, ceiling height, loading, floor capacity, vehicle turning and operating hours. Have a competent professional verify structural or machine-load claims. Obtain TNB confirmation of supply capacity and upgrade feasibility; distinguish three-phase availability from the usable capacity and who pays for alterations.
For a company tenant, prepare current registration, signing authority and any requested supporting financial documents through a private verified channel. Agree whether guarantees are needed and obtain legal explanation of their scope. Never post bank statements or identity documents in the public questions form.
Make the offer conditional where necessary: permitted activity, licensing, electrical upgrade, fit-out permission or agreed works. Specify who applies, pays, owns the alteration, bears delay and restores the premises. Do not assume a booking payment returns automatically when a licence fails.
Record repairs, roof and structural issues, equipment, fire systems, insurance, maintenance and reinstatement responsibilities explicitly. Agree when defects are repaired and which third-party approvals remain outstanding. A signed condition report and included-items list help distinguish pre-existing damage from later changes.
HASiL's tenancy or lease self-assessment phase began on 1 January 2026. Arrange stamping within the applicable deadline; for instruments signed in Malaysia this is generally 30 days. A term above three years may require a registrable lease and land procedures rather than treating it as an ordinary short tenancy; ask the conveyancing lawyer.
Complete a joint handover and retain receipts, inspection photos and meter records. Diary the notice date, rent reviews, licence renewals and exit inspection. These steps organise due diligence; they do not certify a particular premises as suitable or promise a fixed approval or refund timeline.
